Sales Process Harborn - ISO9001 Process Description
This process outlines Harborn's sales approach in line with ISO9001 requirements. It ensures
that every lead is managed consistently and professionally, from first contact to project kick-off.
All steps, responsibilities, and quality controls are clearly defined to support client satisfaction
and continuous improvement.
1. Lead Generation & Initial Contact
Sources: Incoming leads originate via the website, network, referrals, or marketing campaigns.
Responsible: Business developer or account manager.
Procedure:
Initial contact is made by the responsible colleague.
Four-Eyes Principle: The first meeting is always scheduled together with a colleague from another discipline.
2. Intake Meeting
Team Composition: Multidisciplinary (e.g., sales, technical, design).
Execution:
Intake meeting is conducted using the intake checklist.
Checklist includes, among others: objectives, budget, stakeholders, timelines, etc.
Documentation:
Minutes are always taken and stored in the designated folder on the Drive.
3. Internal Evaluation
Team: Multidisciplinary team reviews the lead based on the intake.
Purpose:
Determine whether and how value can be provided.
Assess fit, complexity, and required capacity.
Decision:
Decision is made whether to prepare a proposal or discontinue the process.
Decision is recorded and archived.
4. Proposal Development
Preparation: Proposal is drafted in a multidisciplinary way (strategy, design, technical, delivery management) in Pandadoc.
Calculation:
Investment table is created using the calculation sheet.
